Role Profile
AFD India seeks a dynamic Executive Assistant – Travel & Events Logistics Officer to join its administrative team in New Delhi. In this full‑time, third-party payroll role, you will support travel, events, and operations for both local staff and visiting HQ teams, reporting directly to the Head of Administration.
Key Responsibilities
Plan and manage domestic and international travel: flights, hotels, visas, ground transport.
Advise on travel security protocols; brief team members prior to missions.
Coordinate logistics for workshops, conferences, and events: vendor selection, quotations, coordination.
Prepare reimbursement sheets and verify vendor invoices; coordinate payments.
Maintain the Country Director’s calendar and contact directory.
Oversee courier services and office stationery inventory.
Manage front-desk reception: visitor handling, mail distribution, and phone calls.
Administer the office cashbox in coordination with finance/admin head.
Offer backup support to other administrative colleagues as needed.
Handle additional administrative tasks assigned by management.
Selection Criteria
Education: High School diploma required; college degree preferred.
Experience: 3–4 years in administrative support, travel coordination, or executive assistance.
Language: Fluency in English (written & spoken) is mandatory.
Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to draft and translate simple correspondence. Prior experience in a multi‑lingual or client service environment preferred.
Personal Attributes: Team player with strong service orientation, high integrity, discretion, and adherence to AFD Group values.
Working Conditions
Work Schedule: Monday to Friday, 9:00 AM – 6:00 PM (incl. 1-hour lunch break)
Start Date: As soon as possible, based on candidate availability
Compensation: Competitive and negotiable, based on experience and qualifications
Contract Type: Third-party payroll
